How-To:Maintain an Employee/Card Number Record

It is important to maintain a record of which employees have been given which card numbers, and which card numbers are available. This will allow you to quickly reissue card numbers from employees who leave, to know which card numbers to order from Timeminder when your business expands, and to make sure two employees are not issued the same number. Note that the card number is used even for fingerprint systems, where it matches the PIN.

We recommend a simple excel spreadsheet with headings Name, Code, Card Number, PH Shift, PH Credit, Classification, Cost Centre, Selection A, Selection B

You can sort this list by any of the headings using Excel's autosort function. Also, you can import the various details into timeminder via a .csv file:

1. Go to Employee->List

2. Select File (CSV)

3. Save the file to a location you can find it later

4. Open the csv file in Excel

5. Copy and Paste the data from the .csv file into the Excel file you have already set up.
