FAQ:What do the colours on the daily report mean?

Each of the coloured highlights in the daily report represents a time or calculation that was unexpected. Explanations of each colour and what you should do when they are encountered are in this document.

Yellow
Yellow indicates that a swipe is missing
To fix: Click on the coloured field & a window will pop up with the Normal shift start or end time (depending on what is missing). This information comes from the shift setup. See Award Setup -> Shifts. If the time shown is suitable, then click Yes & this will appear on the report once you click Refresh button.
If the time shown is NOT suitable, click on the Employee Code (eg. 1055). This will take you to the Corrections screen. Here you can type the time, then Calculate, Save & Close. Click Screen button to refresh the report to see the yellow disappear for this person.
Blue
Blue indicates that an employee worked less hours than expected (as set up in Award Setup-> Shifts) on a shift
To fix: Click on the coloured field & a window will pop up making up the normal hours to what is defined in (Award Setup-> Shifts)
If the time shown is suitable, then click OK & this will appear on the report once you click Refresh button. You can also select which column you want the time added to.
If the time shown is NOT suitable, AND you want to make changes to the person for this day, click on the Employee Code (eg. 1067). This will take you to the corrections screen. Adjust as necessary. See Corrections.
If the time shown is NOT suitable, & you DONT want to make changes, just ignore the coloured cell & click in the far left hand column to OK the record.
Purple
Purple indicates that an employee worked overtime
To fix: Click on the coloured cell & a window will pop up. If you want to delete the hours in the field, click Yes. If you don't want to make any changes, then you can approve the times for that day. Just click in the far left hand column to OK the record.
Red
Red indicates that hours cannot be calculated
This could be due to a missing swipe or because the start or end time is outside the shift parameters. The fix will depend on the cause.
In the image above McLeish, Frederick on Shift 04 worked 16.30-02.00 but the latest finishing time in the shift setup is 18.00.
Scenario 1 - He may have been rostered onto the wrong shift. If so, clicking on the Employee Code (eg. 1100). This will take you to the Corrections screen. Select the correct shift & then Calculate, Save & Close. Click Screen button to refresh the report to see the red disappear for this person.
Scenario 2 - The shift may have changed. If so, then the setup will need to be updated for this shift. You will need to go into Award Setup, Shifts & select the relevant shift. Once changes are made make sure you Save. See Award Setup, Shifts.
Then go back to the Corrections screen & click Calculate. Save & Close. Click Screen button to refresh the report to see the red disappear for this person.
Scenario 3 - The shift setup may be ok for 99% of the time & this is a once off anomaly in the start or end times for this person. If so, then, click on the Employee Code (eg. 1100). This will take you to the Corrections screen. Type the number of hours worked by manually calculating them. Then click Save NOT Calculate. Click Screen button to refresh the report to see the red disappear for this person. Finally click in the far left hand column to OK the record.
